Our team cultivates, maintains, and installs the largest selection of homegrown trees, shrubs, perennials, and flowering annuals throughout the Metro. We are seeking career minded individuals to join our Lanoha Nurseries Administration Office Team. We are seeking an experienced and detail oriented Billing Coordinator to join our commercial team and work alongside Landscape Designers and Project Managers. The ideal candidate will possess commercial contract knowledge, strong organizational skills, excellent attention to detail, and a thorough understanding of billing procedures utilizing purchase orders. This is a great opportunity for a candidate who is independently motivated and enjoys working in a fast paced environment.

Requirements

  • 3-5 years experience in project billing, ideally for commercial projects
  • Minimum of one 1 year experience interpreting contracts
  • Ability to multitask, prioritize and make informed decisions in a fast paced environment.
  • Proficient with Microsoft products
  • High attention to detail in a fast paced environment
  • Adaptable to learning new software, Acumatica software experience is a plus
  • Construction Office experience helpful but not required

Responsibilities

  • Prepare timely, accurate and detailed client invoices and AIA billings based on estimates, contracts, project specifications, materials used, and services provided
  • Create, manage and receive purchase orders for multiple projects being led by multiple teams
  • Collaboration with Landscape Designers and Project Managers to source and order materials
  • Build and maintain vendor relationships through positive and professional communication
  • Monitor, manage and inform Project Managers of past due client invoices
  • Complete and track the status of contracts, change orders, waivers, insurance certifications and bonds
  • Provide excellent internal customer service to resolve billing questions or invoice discrepancies
  • Provide excellent external customer service during peak season to assist Designers and Project Managers with client communication
  • Cross train to support Residential Billing Coordinator and ad hoc projects as needed
  • Ensure compliance with company policies and procedures related to billing, payments and record keeping
